Overview

About the project

All Star Cooling & Heating provides residential and commercial heating and cooling service across St. George, Washington, Santa Clara and the surrounding Southern Utah area, including repair, maintenance, replacement and new-construction installation.

Computer CoPilot designed and developed both the company’s website and the custom CRM behind it. The website makes it effortless for a customer to get help; the CRM makes sure every request is confirmed, scheduled, assigned and followed up — whether it comes from a homeowner or a builder.

The challenge

What needed to change

All Star serves two very different kinds of customers — homeowners who need repairs and maintenance, and builders who need HVAC installed across new-construction lots. Each comes with its own requests, schedules, crews and billing.

Requests arrive from the website and by phone, technicians are out in the field, and builders and superintendents need updates by text. Without one system, that information lives in too many places.

The solution

What we built

Computer CoPilot built a customer-facing website and a custom CRM designed around how All Star actually operates. Booking requests from the website flow into the CRM, where the office confirms them, assigns a technician and keeps the customer informed.

The CRM separates residential service from new-construction work, with builders, lots and work orders, a blocked-jobs view and a ready-to-bill queue — plus two-way SMS for customers and superintendents. All Star also uses SynthVoice.ai for AI phone answering.

How it connects

From first click to finished job

How the pieces we built work together day to day.

  1. Step 1

    Customer books online

A homeowner requests service from the website's booking flow.

  2. Step 2

    Pending booking in the CRM

The request appears in the CRM for the office to review, edit or confirm.

  3. Step 3

    Technician scheduled

The confirmed appointment is assigned to a technician and added to upcoming work.

  4. Step 4

    Customer kept informed

Texts go out from the CRM, with every message saved to the customer's history.
